Invoices & Payments

Can I edit an invoice after submitting it?

No — once submitted, an invoice is locked. To make corrections, open the invoice, click Cancel, then click Amend. An editable copy is created. Make your changes and re-submit. A cancellation is also sent to ZATCA if the invoice was already submitted there.

How do I record a partial payment?

Click Make Payment on the invoice and enter the amount received (less than the full invoice total). The invoice status changes to Partly Paid. When the remaining amount comes in, create another payment from the same invoice.

Why is my invoice showing "Unpaid" after I entered a payment?

Make sure the payment was submitted (not just saved). Also check that the payment is linked to the correct invoice — open the payment entry and confirm the invoice number appears in the "Outstanding Invoices" table at the bottom.

How do I create a credit note?

Open the original sales invoice and click Make → Return / Credit Note. Fateh creates a negative invoice (credit note) linked to the original. This reverses the revenue and adjusts the customer's outstanding balance.

ZATCA & VAT

My invoice shows "ZATCA Rejected" — what do I do?

Check the error message on the invoice (hover or click the status badge). Common reasons: missing customer VAT number, item code format issue, or connection timeout. Fix the issue, cancel the invoice, create an amendment, and re-submit.

Do I need to do anything to enable ZATCA?

Your Fateh administrator needs to enter your ZATCA credentials (Production/Integration CSID) in Settings → ZATCA Configuration once during setup. After that, ZATCA submission is fully automatic.

How do I generate my quarterly VAT return?

Go to Reports → VAT Audit Report. Set the date range to your VAT period. The report shows total output VAT, total input VAT, and net VAT payable. Export to Excel and use these figures to fill in your ZATCA VAT return portal submission.

Items & Stock

My item doesn't appear in the invoice dropdown — why?

Make sure the item is not disabled. Open the item and check if the Disabled checkbox is ticked. If it is, untick it and save.

How do I import a large number of items at once?

Go to Data Import (search for it in the top bar). Select Items as the document type. Download the template, fill it in Excel, and upload it. Fateh will create all items in one go.

Users & Access

How do I add a new user?

Go to Settings → User List → New User. Enter their email, name, and assign a role (e.g., Sales User, Accounts User). They'll receive an email invitation to set their password.

How do I reset a user's password?

Go to Settings → User List, open the user, and click Send Password Reset Email. The user receives a link to set a new password.
